Job title, employer, and industry, where you choose to share this as context relevant to your coaching goals.
Financial information
Invoicing details and payment confirmation. Payment card details are processed directly and securely by Stripe and are never held by Career Reset Coaching Ltd.
Session-related information
Notes, goals, progress, and other information you share during coaching sessions. This data forms part of the coaching relationship and is handled with the highest level of care and discretion.
Special category data
Some information shared during coaching, such as information relating to your health, wellbeing, personal relationships, or other sensitive circumstances, may constitute special category data under UK GDPR. Where you choose to share this, it will be treated with the highest level of protection and used only to support your coaching journey.
Website and communications data
Basic website usage data (where analytics tools are active), and any emails, messages, or enquiry form submissions you send to me.
3. Lawful Basis for Processing
I collect and process your personal data only where I have a lawful basis to do so under UK GDPR. The bases I rely on are:
Contract
To deliver coaching services in accordance with our client agreement. This is the primary basis for processing data relating to active clients.
Legitimate interests
To manage our coaching relationship, communicate with you effectively, administer my business, and maintain appropriate records. I carry out a balancing assessment to ensure my interests do not override yours.
Legal obligation
To comply with financial record-keeping requirements, including those set by HMRC. Certain records must be retained regardless of your preferences.
Consent
For marketing communications such as newsletters or updates. Where consent is the lawful basis, you may withdraw it at any time by contacting me at jamie@careerresetcoaching.com. Withdrawal of consent does not affect the lawfulness of processing prior to withdrawal.
4. How I Use Your Data
Your personal data is used only for the purposes for which it was collected or as otherwise permitted under UK GDPR. Specifically:
- To deliver and personalise coaching services to you
- To communicate with you before, during, and after our coaching engagement
- To issue invoices and process payments
- To maintain session notes and track progress where applicable
- To comply with legal and regulatory obligations, including tax and financial record-keeping
- To send relevant updates or newsletters where you have given consent to receive them
I will not use your data for automated decision-making or profiling.
5. How Long I Keep Your Data
I retain personal data only for as long as is necessary for the purpose for which it was collected, or as required by law. My retention periods are:
- Active client data: Retained for the duration of our coaching relationship and any follow-up period we agree.
- Post-engagement records: Up to 6 years after our engagement ends, to meet contractual and legal obligations.
- Financial and invoicing records: 6 years, as required by HMRC.
- Enquiry data (non-clients): Deleted within 6 months if no coaching relationship begins.
- Marketing data: Retained until you withdraw consent or request deletion.
Where data is no longer required, it is deleted securely. If you would like to discuss the retention of your specific data, please get in touch.
6. How I Store and Protect Your Data
I take the security of your personal data seriously and take proportionate steps to protect it. These include:
- Storing data only on reputable, encrypted platforms with appropriate access controls
- Using multi-factor authentication on all accounts that hold personal data
- Not sharing your data informally or via unsecured channels
- Limiting access to your data to myself only, unless otherwise required
Your data is stored within the UK or EEA. In the event that any data processing requires transfer outside of these areas, I will ensure appropriate safeguards are in place in accordance with UK GDPR before any such transfer takes place.

7. Sharing Your Data
I do not sell or share your personal data with third parties for marketing purposes. I may share limited data only where necessary, with the following categories of recipient:
Payment processors
Stripe is used to process payments securely. Payment card details are handled directly by Stripe and are never stored by Career Reset Coaching Ltd. Stripe's privacy policy is available at stripe.com/gb/privacy.
Scheduling tools
Calendly is used to manage session bookings. When you book through Calendly, your name and email address are processed by Calendly in accordance with their privacy policy, available at calendly.com/privacy.
Communication and productivity tools
Microsoft 365 is used for email communication and session delivery via Microsoft Teams. Microsoft's privacy policy is available at privacy.microsoft.com.
Google Meet and Google Calendar
Where agreed with the client, sessions may be delivered via Google Meet and scheduled using Google Calendar. In these cases, your name and email address will be processed by Google in order to set up and manage the session. Google's privacy policy is available at policies.google.com/privacy. Google Meet does not use AI transcription or summarisation features in sessions delivered through Career Reset Coaching Ltd.
Cloud storage
Secure cloud-based storage may be used to hold session notes and client materials. Access is restricted to me only.
Professional supervision
As part of good coaching practice, I may discuss client work with a professional supervisor. Where this occurs, all identifying information is removed. Supervisors are bound by their own confidentiality and data protection obligations.
Legal or regulatory authorities
Where required by law, regulation, or court order, I may be required to disclose your personal data. I will notify you of any such requirement unless legally prohibited from doing so.
All third-party providers are required to handle your data securely and in compliance with UK GDPR and applicable data protection legislation.
8. Your Rights
Under UK GDPR, you have a number of rights in relation to your personal data. These are:
Right of access
Request a copy of the personal data I hold about you (subject access request).
Right to rectification
Ask me to correct any inaccurate or incomplete personal data.
